Renewal Pass
Overview
All international students are responsible for maintaining a valid Student Pass throughout their studies in Malaysia. To avoid penalties and interruptions to your study, submit your renewal application as early as ninety (90) days before the Student Pass expiry date.
- Applications are submitted online via the MyUTM Portal under the module International Apps.
- Approval and duration are subject to EMGS and the Malaysian Immigration Department.
- Students with expired passes of more than three (3) months are not eligible to renew. A new application and a new eVisa Approval Letter (eVAL) from the home country will be required.
1. Deadlines & Fines
Late submissions are subject to fines according to the submission window before the pass expiry date:
- 5–7 weeks before expiry – RM50
- 2–4 weeks before expiry – RM100
- 0–2 weeks before expiry – RM150 + RM1,020 (Special Pass & Immigration compound)
Important: Applications submitted less than two (2) weeks before the Student Pass expiry date may incur a penalty for Special Pass processing. These cases are regarded as student negligence, and the Immigration Department will not make exceptions. Students must comply with the regulations to avoid delays in the endorsement of their pass.
2. Key Reminders
- Do not purchase flight tickets until renewal is fully completed and your passport has been returned.
- The end-to-end process typically takes about two (2) months, depending on completeness and external processing times.
- Approval is subject to academic standing and records, including: active enrolment, attendance > 80%, CGPA (students with CGPA < 2.00 may be at risk), and a satisfactory progress report.
3. Overstay
Overstay terms: Students who fail to complete the renewal procedures before the Student Pass expiry date, or who remain in Malaysia beyond the expiry date, are considered to have overstayed and will be referred to the Enforcement Unit, Immigration Office.
- Two (2) appointments at Immigration are compulsory.
- A compound of RM1,100 – RM3,100 will be imposed (amount determined by Immigration).
- No exit from Malaysia is permitted during the entire process (approximately six (6) months).
- No appeal is allowed.
4. Process of Renewal Student Pass
Student Pass renewal must be completed through the MyUTM Portal via the International Apps module. Students are responsible for submitting their applications on time, providing complete documentation, and making prompt payment. UTM International will review the submission and forward it to EMGS and the Immigration Department of Malaysia. The process ends with passport endorsement and collection. Typically, the duration from EMGS submission by UTM International to passport collection is two (2) to four (4) weeks, although this may vary depending on peak periods, workload and public holidays.
- Submit Application: Submit your renewal application online within three (3) months before the expiry date.
- Document Review: Your documents will be received in the system and reviewed. If corrections are required, you will be notified via email. Please check your email regularly and respond promptly to avoid delays.
- Verification & Invoice: Once all documents are complete, verification will be performed and an invoice will be issued.
- Payment: Make the required payment and upload the receipt to the system. After verification, your application will be accepted and processed.
- Submission to EMGS: UTM International will submit your renewal through the EMGS system. You may track progress via the STARS App or at visa.educationmalaysia.gov.my.
- Passport Submission: Once your EMGS application status reaches 90%, submit your passport to UTM International within one (1) month for Student Pass sticker endorsement by the Immigration Department.
Note: Failure to submit your passport within this period may result in cancellation of your renewal and require you to restart the application process. - Immigration Endorsement: UTM International will submit your passport to the Immigration Department for Student Pass endorsement.
- Passport Collection: You will receive an email from UTM International titled “Application Completed” when your passport is ready for collection.
5. Passport Collection
The student MUST claim the passport within one (1) week from the notification of collection. Below are important details:
Processing Timelines
- New/Renewal Student Pass: 2–3 weeks post-submission (students must monitor status via the EMGS portal)
- Cancellation/Transfer Applications: 2–3 weeks post-submission
- New Dependent Pass: 2–4 months post-submission
- Renewal Dependent Pass: 2–3 weeks post-submission

- Original Holding Letter from UTM International
- Payment form from UTM International (blue form)
- UTM Official Receipt
These documents are essential for verification purposes by UTM International.
Collection Policy
- Students must collect their own passports in person at the UTM International counter.
- For security and confidentiality, third-party collection is strictly not permitted.
Collection Notification
Students will receive an official email notification once their passport is ready for collection.
- For Student Pass applications (new, renewal, transfer, or cancellation), notifications will be sent from iscjb@utm.my
to students of faculties at UTM Johor Bahru, and from isckl@utm.my to students of faculties at UTM Kuala Lumpur. Emails will be delivered to the student’s UTM graduate email as well as other registered email addresses. - For Dependent Pass applications, the notification will also be sent to the principal’s graduate email and registered contact.
6. i-Kad Collection
After collecting your passport, please allow 2–3 weeks for the i-Kad to be processed. You will be notified via email once your i-Kad is ready for collection. Please refer to the i-Kad page for further guidance, especially if you are applying for an i-Kad renewal separately.
Important:
- If your Student Pass (eVAL) is approved for only one (1) year, the i-Kad will be automatically renewed together with your Student Pass renewal.
- If your Student Pass is approved for more than one (1) year (e.g., three years), you must still renew the i-Kad annually, as the i-Kad is valid for only one (1) year.
- If collected by a representative: a copy of your Matric details, their own Matric details, and a completed authorization form (attached to the notification email).
- If you have not received an email regarding your i-Kad after three (3) weeks, please visit the UTM International counter (Level 1) to check the status.
